What Is a Data Label?

A data label draws its content from an external source rather than a fixed design. The frame, logo and layout stay constant; the fields — product name, stock code, serial number, weight, origin, expiry date — are filled from the corresponding row. A 4,000-row spreadsheet becomes 4,000 different labels.

Sources We Work With

  • Excel (.xlsx, .xls): a flat table with headers in the first row. No merged cells, no subtotal rows.
  • CSV / TSV: the safest format for large datasets. Save as UTF-8 to avoid character corruption.
  • ERP / MES exports: if the report structure is stable, recurring jobs need no manual step at all.
  • Database connection: SQL or API access so current data is pulled at every print run.

Before You Send the File

Three issues cost the most time: the same stock code written two different ways, numeric fields stored as text, and Excel stripping leading zeros. We catch all three during validation, but fixing them at source saves a day.

Frequently Asked Questions

Why do leading zeros disappear from my codes?
Excel treats 00123 as the number 123. Format the column as Text before pasting, or prefix values with an apostrophe. We flag this during validation if it slips through.
Will Turkish or Arabic characters break?
Not if the CSV is saved as UTF-8. Files in other encodings are converted, but always check special characters on the proof.
I have data but no label design. Can you help?
Yes. Send the data, tell us which fields should appear and the label dimensions, and we will prepare the design as a digital proof.
Do I need special software to send files?
